Research, Data and Program Assistant - Suriname

Research, Data and Program Assistant based in Suriname to serve GEP events in Latin America and the Caribbean

We are in search of an individual with strong inquisitive, proactive and detail-oriented abilities, responsible for conducting research, managing data and assisting in programme development tasks to ensure the successful execution of events. The ideal candidate should be highly organised and should have the capacity to work both independently and as part of a team as you will collaborate closely with various departments to gather and analyse information that will contribute to strategic decision-making in the implementation and accomplishment of the company’s goals.

As the research, data and program assistant you will report directly into the Programme Manager and will provide support following up, managing and organizing the programme related information.

Key responsibilities:

  • Conduct thorough research on potential sponsors, partners, speakers, and industry trends and topics to support event planning, sales and programme development.
  • Research, refresh and update old excel databases and migrate the information into Salesforce.
  • Work with the programme manager, marketing and sales teams to identify data gaps in the CRM across marketing lists, industry categories, countries, job titles etc. and build out these data gaps.
  • Work with the programme manager and event director to establish a target market document at the start of each event campaign to show where research and data builds are required.
  • Collaborate with team members from other departments with research on required databases, such as customer insights, data analysis and new business leads.
  • Assist in creating and maintaining databases, spreadsheets, and reports as required.
  • Research and update the competitors’ database for the Americas region and maintain and update a central partners database.
  • Work with the programme manager to help research market and sectors and industry sectors for event and program development and content creation.
  • Work with the program manager to help identify speakers or companies relevant to conference agendas for speaker or sponsor acquisition.
  • Provide administrative support to the Programme Manager following up with confirmed speakers on the required information for the promotion of their participation and managing and updating the speakers’ spreadsheet.
  • Send and follow up speaker invitations when required.
  • Provide administrative support to the Programme Manager following up with confirmed endorsing and supporting partners on the deliverables agreed from both sides. This includes communication with the marketing team to ask for the required material to share with the partners.
  • Provide administrative support to the Programme Manager uploading and updating new contact information into Salesforce.
  • Be available during work hours to attend meetings and receive video calls and/or phone calls with company managers, directors, customers, suppliers, and partners.
  • There are opportunities to travel and work on-site at live events, but travel is not an essential part of the role.

Knowledge and skills required:

  • Degree educated.
  • Candidate must be bilingual (Dutch / English) with fluency in both written and spoken communication.
  • Strong proficiency in the use of Microsoft Office products (specially Excel and Word)
  • Ability to handle pressure and meet deadlines.
  • Ability to work independently, autonomously and follow your own initiative.
  • Strong organisational and time management skills, with the ability to multi-task and prioritise.
  • Capable of working independently and as a team member.
  • Keen attention to detail.
  • Experience in database management and data research.
  • Some prior knowledge of CRM’s particularly salesforce (would be useful but not essential).
  • Willing to adapt and take on additional responsibilities outside of the role.
  • You will have to enjoy working in a fast-paced environment where hard work, determination and resilience is expected.
  • Proven ability to learn new software tools.

Financial Manager

Global Event Partners Ltd seeks a highly motivated Financial Manager
Global Event Partners Ltd is a specialist organiser of energy conferences and exhibitions. We have a global portfolio of established and new events with a leading market position across Africa, the Americas and the Caribbean. Our events are focussed on new energies, oil and gas. We believe strongly in the value of bringing people together through the medium of events; creating opportunities to forge partnerships, network, and accelerate business opportunities. The company has experienced strong year-on-year growth with a 10-fold increase in revenues over for the past four years.

Given the sustained growth experienced by the company, this is a new role reporting to the Managing Director. The primary objective of the role is to manage both the accounts payable and accounts receivable (the company uses Xero). This includes the following main tasks:

  • Working with all the sales staff, logging sales, raising invoices and sending to clients
  • Monitoring bank accounts and reconciling receipts
  • Sending reminders to clients and monitoring debtors
  • Creating payment plans or other ideas to incentivise prompt payment
  • Completing due diligence and compliance forms
  • Approving invoices and managing through Xero
  • Ensuring invoices are paid on time
  • Coordinating with the payroll supplier
  • Maintaining the individual event budgets (approximately 10 events per year)
  • Preparing management reports for both Africa and Americas divisions
  • Working with the company’s accountants for the preparation of annual accounts

Skills and Qualifications:

  • At least 5 years’ financial management experience
  • Proven longevity at previous companies
  • Experience at an exhibition/conference organising company
  • Be able to work independently both at home and in the company’s office in Chiswick
  • Be able to travel internationally as part of the events on site team when required
  • Proficient with Xero
  • Proficient with Management Accounts
  • Understanding of SalesForce
  • Communicate fluently in English (spoken and written)
